Job Overview:

The Onboarding Specialist is responsible for organizing, streamlining and overseeing the onboarding process for new hires.

PRIMARY JOB RESPONSIBILITIES:

  • Generates offer letters for candidates recruiting by hiring managers.
  • Facilitates the onboarding process for new hires including scheduling drug screens, backgrounds, and orientation coordination. Conducts new hire orientation when HR Generalist is not available.
  • Enters data and processes new hires and other employee and manager transactions in the system of record.
  • Performs routine audits of all new hire documents for SOX compliance audits.
  • Administers Pre-AA process for candidates whose offers are rescinded for not meeting our hiring criteria.
  • Create Standard Operating Procedure (SOP) for the onboarding process
  • Craft and send emails with information about the company and position, including work schedules, dress code and parking options
  • Inform employees on their first tasks in the HRIS
  • Distribute manuals, passwords and guidelines, as needed
  • Address new hires’ queries regarding their contacts and payroll
  • Reset UKG passwords for employees.
  • Participates in special projects
  • Other duties as assigned

EDUCATION & EXPERIENCE REQUIREMENTS:

The ideal candidate will have experience in one or more of the following areas:

  • Associate degree in HR or related field or a minimum of 2 years’ experience in the Human Resources field
  • Ability to prioritize tasks
  • Ability to function well in a high, fast-paced, and sometimes stressful environment
  • Ability to form good working relationships with company staff and management
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • General knowledge of HR compliance, practices, and procedures
  • Minimum of 2 years’ experience in the Human Resources field in an administrative role
  • Proficient with Microsoft Office Suite or related software
  • Spanish bilingual, preferred

Supervisory Responsibilities:

  • NA

Additional Preferred Knowledge and Experience:

  • Knowledge and experience with Ultipro HRIS

Work Environment:

  • 95% Office setting

Physical Demands:

  • Prolonged periods of sitting in an office setting, staring at a computer screen

Travel Required:

  • 5% or less travel required

Work Authorization:

Must be a U.S. Citizen or valid Work Visa
