Classification: Full-Time

Location: Remote ((DE, MA, MD, MI, MN, MO, NC, NJ, OH, PA, TN, TX, UT, VA, WA, and WI)

Salary Range: $65,000.00 - $70,000.00 annually

Position Overview:

Talley is seeking a detail-oriented and proactive Program Manager to serve as primary contact for a for-profit subsidiary of a healthcare-centric non-profit association. The Manager is responsible for coordinating a wide range of administrative, operational, and strategic support functions across multiple programs and partnerships. The role involves arranging logistics and being a staff representative at tradeshows. Governance duties include supporting budgeting, strategic planning, and Board of Director management. Additionally, the Manager serves as a liaison across internal teams and external partners, facilitates customer service functions, and helps drive collaborative initiatives and special projects. Key Responsibilities:

Customer & Member Relations

  • Serve as the primary point of contact for customer service inquiries related to the for-profit subsidiaries
  • Collaborate with membership staff and subsidiary consultants to maintain accurate and current member lists

Board, Committee & Meeting Management

  • Coordinate and manage logistics for board of directors’ meetings, committees, and taskforces
  • Organize and support partnership-related meetings
  • Attend meetings and record minutes in collaboration with senior leadership
  • Assist in the preparation of meeting agendas, minutes, board books, and supporting materials alongside executive and operations leadership

Partnership & Contract Management

  • Provide administrative and strategic support to executive leadership and the board
  • Maintain partnership portals, files, contracts, and communications
  • Coordinate internal communications related to partnership spotlights
  • Collaborate with sponsorship and partnership staff to align efforts across organizational initiatives

Event & Tradeshow Coordination

  • Plan and attend tradeshows and industry events
  • Coordinate in-person meeting logistics in collaboration with event planning staff

Compliance, Documentation & Operations

  • Oversee document retention and recordkeeping
  • Ensure compliance with insurance requirements and legal standards
  • Support budgeting processes in collaboration with senior leadership
  • Assist in the development and maintenance of governance and operational documentation
  • Draft and maintain a written operations plan for relevant programs

Internal Team & Cross-functional Collaboration

  • Manage internal team meetings and ongoing coordination
  • Partner cross-departmentally on joint projects and organizational updates
  • Oversee board appointments and election processes for the subsidiaries

Qualifications:

Education Requirements:

  • Associate degree required. Bachelor's degree preferred.

Experience Requirements:

  • Minimum of 2 years of professional experience, with working knowledge of governance structures, board operations, customer service, and administrative support.

Knowledge, Skills, & Abilities:

  • Proficiency in Microsoft Office Suite, virtual meeting platforms, document storage tools, and CRM (preferred).
  • Knowledge of basic contract terms, file organization, and partnership engagement processes
  • Awareness of legal and insurance compliance requirements, as well as best practices for document retention and data organization.
  • Familiarity with coordinating logistics for tradeshows and board meetings.
  • Demonstrates initiative to learn about the industry or profession and the issues of concern to members.
  • Strong ability to plan, execute, and track multiple tasks or projects with attention to details, ensuring deadlines are consistently met or exceeded.
  • Effective in working cross-functionally with internal teams, external partners, and leadership to support strategic direction.
  • Comfortable working in a dynamic, evolving environment with shifting priorities and responsibilities.
  • Excellent analytical, problem-solving, and strategic thinking skills.

Physical Demands & Working Environment:

  • This is a remote position.
  • Percentage of travel (inclusive of Talley and client related obligations) – 10-15 %
  • This role primarily involves desk-based work using a computer and standard office equipment. Employees must be able to sit or stand (based on preference) for extended periods, type and use a mouse, view a computer screen, and participate in virtual meetings. Occasionally, light lifting of items like laptops or small office supplies (up to 15 pounds) may be required. Employees are expected to maintain a comfortable home office setup and adhere to safety guidelines for physical needs, ensuring an efficient and productive work experience.
  • If travel is required, additional physical requirements include navigating airports, public transportation, and meeting locations, lifting luggage or equipment (up to 50 pounds), sitting or standing for extended periods, and adapting to various environments such as conference centers or client sites.
