JOB SUMMARY 

 

TransSIGHT is seeking a Full-time Mail/Data Entry Clerk who is responsible for managing incoming and outgoing mail, processing supporting documents, and performing data entry tasks to ensure efficient and accurate management of physical mail. This position includes reviewing, approving, and uploading documents to a Customer Resource Management Systems (CRM). Additionally, the role requires the secure tracking and disposal of sensitive mail, with report generation upon request.

KEY RESPONSIBILITIES:

  • Sort, categorize, and distribute incoming mail .
  • Ensure timely delivery and response to correspondence.
  • Occasionally process and manage outgoing mail.
  • Maintain an organized filing system for both physical and digital mail records.
  • Scan, file, and manage physical and digital documents.
  • Convert paper documents into soft copy formats as needed.
  • Ensure all documents are organized and easily accessible for future reference.
  • Prepare reports or summaries as required.
  • Handle sensitive information according to company policies and procedures.
  • Maintain confidentiality and ensure the security of all processed data and documents.
  • Accurately input data into company systems or databases.
  • Verify data entries for accuracy and make corrections as needed.
  • Regularly update records to ensure accuracy and timeliness.
  • Perform routine data audits to identify discrepancies or errors.
  • Interact with customers via phone, email, or chat as required.

QUALIFICATIONS:

  • Strong attention to detail and accuracy.
  • Basic knowledge of office software (e.g., Microsoft Office Suite).
  • Excellent organizational and time-management skills.
  • Ability to work independently with minimal oversight as well as part of a team.
  • Ability to understand and follow processes.
  • Ability to read and comprehend normal instructions, correspondence, and memos. 
  • Ability to apply common sense understanding to carry out detailed written or oral instructions.  
  • Previous experience in mail processing, customer service, or data entry is a plus but not required.
  • Familiarity with using a postage meter is a plus but not required.
  • May require the use of office equipment such as computers, scanners, and printers.
  • Ability to work in a structured environment.
  • Must be able to pass a background check.
  • Consistent and reliable attendance is required for the role.
  • Regular verbal communication and listening skills are essential.

Physical Demands:

·     Ability to perform job tasks while adhering to standards outlined by ADA, FMLA, and other relevant laws.

·     The work is primarily sitting but requires the ability to occasionally lift 50Ibs., and to walk, stand, and carry items as needed.

·     Daily use of a computer, keyboards, and office equipment, including retrieving and inputting information.

·     Ability to work in an office environment with quiet to moderate noise level.

  • Ability to work onsite.

EDUCATION AND/OR EXPERIENCE:

·     High school diploma or equivalent; additional qualifications in data entry or administrative support are a plus.

·     Customer service experience is a plus
