The Arc of Opportunity Development Team is looking for Volunteers for the Annual Auction Event!

What is the Arc of Opportunity?

The Arc of Opportunity is a civil and human rights movement, supporting individuals with disabilities and their families in North Central MA. You will be joining a network of over 600 national state and local chapters committed to providing the best quality of life through our multitude of programs, services, and opportunities.

What is the Development Team?

The Development Team oversees how we, as an organization, present ourselves to the community via our website, social media platforms, and a multitude of other forms of communication. The Development team plays an imperative role in communicating our mission, day-to-day operations and any upcoming events to keep the community engaged and informed. From managing all our social media platforms, planning all marketing initiatives, maintaining relationships with donors and our company’s partners; the Development team is constantly moving from one exciting project to the next.

What is the Annual Auction Event?

The Development team prepares and hosts our Annual Auction Event to raise funding for our Family Support Program. The event is a special night for all to come together in appreciation of those who continuously support our programs and in celebration of the positive differences these programs make in our communities. The upcoming Annual Auction is October 11, 2024.

What would a Volunteer for the Annual Auction Event Do?

The volunteers would assist the Development Director and the Development Associate with preparation and execution of the Auction. Below is a list of tasks the volunteers would assist with:

• Plan and Prepare: Volunteers should thoroughly plan the auction event in advance, including scheduling, logistics, and responsibilities. A detailed plan ensures a smooth and efficient operation.
• Recruit and Coordinate Volunteers: Volunteers should recruit and coordinate with other volunteers to ensure adequate staffing for all tasks during the auction. Clear communication and scheduling are essential to ensure all roles are covered.
• Set Up and Prepare the Venue: Volunteers should arrive early to set up the auction venue, including arranging tables and chairs, setting up displays for items up for auction, and ensuring a clean and organized environment conducive to bidding.
• Welcome and Direct Attendees: Volunteers should be stationed at designated areas to greet and direct attendees as they arrive for the auction. They should provide clear directions, answer questions, and ensure smooth traffic flow to registration and bidding areas.
• Assist with Registration: Volunteers should assist in the registration and check-in process for attendees, ensuring all bidders have the necessary bidding materials and are ready to participate in the auction.
• Facilitate Bidding Process: Volunteers should assist in facilitating the bidding process during the auction, such as providing paddles to bidders, announcing items up for bid, and assisting the auctioneer as needed.
• Assist with Activities: If there are any additional activities or entertainment planned alongside the auction, volunteers should be prepared to assist with their execution, ensuring participants have a memorable experience.
• Handle Payment and Item Collection: Volunteers should assist in handling payments from winning bidders and coordinating the collection of auction items, ensuring a smooth and efficient process at the conclusion of the event.
• Clean Up and Dismantle: After the auction concludes, volunteers should assist with the clean-up process, including collecting trash, dismantling displays, and ensuring the venue is left in good condition.
