Salaries and Benefits Salary Range: $5,083 per month to $7,228 per month. (Starting salary placement depends on qualifications and experience and is anticipated to be in the range of $5,083 per month to $6,155 per month.) Benefits include medical, dental, vision, retirement (CalPERS), 401k, 457, 403(b), dependent and health care reimbursement accounts, life insurance, vacation and sick, 14 paid holidays, one personal holiday and tuition fee waiver. The position may be eligible to participate in the hybrid telecommute program subject to management approval. Responsibilities Provide in-depth academic advising to undergraduate students, with a focus on assigned caseload, covering general education, graduation requirements, college-based policies, and related procedures. Document appointments and interactions with appropriate notes in university designated systems. Lead initiatives for the development of academic plans and strategies tailored to individual student needs. Verify accuracy of academic records, such as transcripts or test credits. Determine need for equivalency requests and substitutions. Proactively assist students in the development of academic plans. Utilize extensive knowledge of academic policies to handle complex advising cases, offering strategic guidance to students. Problem solve with students to improve students’ educational strategies, such as effective study habits, time management skills, and supportive educational environments. Act as a primary liaison to other college departments, centers, and offices across campus. Deliver or help facilitate workshops for students in the assigned department(s) within the College of Science, focusing on preparation and review of students for employment, training, or application to subsequent degrees post-graduation. Support the onboarding and enrollment of new freshman and new transfer students with a focus on assigned caseload. Attend all campus-wide advisor trainings related to academic advising. Academic Progress Oversight Using available technology, monitor and assess students’ schedules and progress to ensure they are taking appropriate courses to progress towards their degree goals. Respond proactively to performance alerts and manage student cases with a focus on enhancing academic success and make appropriate referrals to campus resources. Oversee registration processes, contributing to the refinement and improvement of procedures. Upon transition to new advisor or graduation, complete review of academic records to ensure smooth transition to new department, advisor, or graduation. Utilize referral system in Bay Advisor to track transitions. Project Coordination Assist in the development of college-based advising tools, outreach, and resources. Coordinate projects and outreach aimed at promoting timely degree completion, while maintaining detailed records. Office Planning, Management, and Program Development Represent academic advising at events for student recruitment and transition support. Enhance student services by strategically leveraging technology, identifying optimal uses for available software. Utilize technology tools to efficiently deliver and monitor all services and student information. Participate in outreach activities, establishing strong connections with community colleges and local high schools. Mentor and provide basic training to new advisors, enhancing the overall quality of advising services. Engage in professional development opportunities and contribute to the training of departmental staff. Experience and Minimum Qualifications Equivalent of two (2) years of professional experience in one of the student services program areas or in a related field. Experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job‑related field may be substituted for one year of professional experience. Education Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job‑related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year‑for‑year basis. Required Qualifications – Knowledge Advanced knowledge of academic advising, research, and interview techniques. Practices, procedures, and activities of the program to which assigned. Principles and techniques of individual advising. Academic, personal and career planning and goal setting. Student services and programs on a college/university campus. Problem‑solving and conflict resolution strategies. Current software, technology, and online resources. Operate standard office equipment and software including PeopleSoft, EAB, Adobe Sign, Google Education Suite, and Microsoft Office (Access, PowerPoint, Excel, and Word). Required Qualifications – Ability Understand and apply program rules and regulations. Use logical reasoning and initiative for planning and implementing long‑term program improvements. Gather information through interviews and analyze data for verbal or written presentations. Provide effective individual and group advising to students from diverse cultural, ethnic, socioeconomic, academic, sexual orientation and disability backgrounds. Recognize and respect diverse value systems. Establish and maintain cooperative relationships with faculty, administrators, and various stakeholders. Quickly acquire a comprehensive knowledge of advising unit operations and programs. Learn and apply Title V, California State University, and Cal State East Bay policies and procedures. Make decisions and carry through on actions having implications with regard to other program or service areas. Actively listen to students; provide accurate, respectful and effective communication to students, staff, faculty and administrators; exercise confidentiality, discretion, and judgment; handle moderately sensitive interpersonal issues. Keep supervisor adequately informed, demonstrate regular attendance and positive performance evaluations. Collaborate closely with a diverse population, including students, staff, faculty, and administrators. Assist with workshops and presentations. Proficiency in utilizing software platforms including PeopleSoft, EAB, Google/Microsoft Office Suite, OnBase, and Canvas. Required Qualifications – Skills Bias toward collaboration and teamwork.
